The Position

Executive Secretary

The Opportunity

As an Executive Secretary supporting the Head of Region Dia APAC, you will manage the Executive Office, organize meetings and events, and coordinate APACET meetings to ensure smooth and efficient operations.

As the Executive Secretary, you are responsible for:

Executive Office Management:

  • Oversee day-to-day operations and maintain an organized environment.

  • Manage calendar, schedule meetings, appointments, and travel.

  • Handle internal and external communications, confidential documents, and reports.

Meeting & Event Organization:

  • Plan, organize, and support ad-hoc meetings and events.

  • Prepare agendas, materials, and logistics.

  • Collaborate with stakeholders for seamless event execution.

APACET Meeting Coordination:

  • Organize meetings, develop schedules, and prepare documentation, in collaboration with the Chief of Staff.

Travel & Administrative Support:

  • Arrange travel bookings, visas, and expense claims.

  • Provide guidance on expenses, procure goods/services, and manage vendor payments.

  • Support event logistics and draft communications on behalf of the executive.

Who You Are:Β 

You are someone who influences your own development, pursues your interests across functions and geographies, and understands that a job title is not the final definition of who you are, but a starting point.

You should ideally possess 3 to 5 years of working experience in a similar role, preferably in a large global organization. Good planning and organization skills are a must. You should also possess good interpersonal and communication skills.

You are independent, proactive, results-oriented, a quick learner, good at multitasking, and can work in a fast-paced environment. You should also be a team player and proactively get involved in team activities.

You should have a Diploma in business or an equivalent field. Familiarity with Microsoft Office programs and Google programs is important. Experience working in an international, multicultural environment will be beneficial. You handle changes and pressure well, and have strong stakeholder management capabilities.
